Inventory Page

The Inventory Page allows you to manage the stock of raw materials or components used to create your items. This is essential for tracking availability, pricing, and restocking thresholds.


👀 Viewing Inventory

The Inventory page gives you a full overview of all items currently in stock.

An example of the inventory page

  • At the top of the page, you’ll find a quick summary showing:

    • Total value of all items

    • Total number of items

    • Total quantity in stock

  • Below the summary, a searchable list displays all inventory items. You can use the search bar to quickly locate items by name.

For each item in the list, you’ll see:

  • Item name

  • Current quantity

  • Total value

  • Status (Active or Inactive)

  • A three-dot button (⋯) with more actions

Clicking the three-dot button reveals several options:

  • View Detail - Opens a full page showing more information about the item, including the same options listed here.

  • Edit Item - Opens a pop-up where you can update or delete the item’s image, name, description, and other details.

  • Add New Stock - Add quantity and price to increase the item’s current stock.

  • Deduct Batch - Remove a specific quantity from stock (e.g., due to spoilage or error).

  • Transfer Stock - Move a selected quantity to another branch.

  • Deactivate Item - Temporarily remove the item from use.

  • Delete Item - Permanently deletes the item from the inventory

⚠️ After deactivating an item, you won’t be able to select this item when creating new products unless it's reactivated.


⬆️ Importing Inventory

If you already have your inventory in a file (e.g. CSV or Excel), you don’t need to start from scratch.

How to Import

  1. Click the Import button — located at the top right of the inventory list.

  2. Upload your file in the required format.

  3. The system will map your data to inventory fields (name, quantity, etc.)

⚠️ Make sure your file matches the expected column structure to avoid upload errors.

How to Add an Item

  1. Click the Add Item button (blue button).

  2. A pop-up window will appear.

  3. Fill in the following fields:

Inventory Item Form

  • Image (optional) – Upload a visual of the component (e.g., tomato, lipstick tube, fabric roll).

  • Name – Enter a clear, descriptive name.

  • Description (optional) – Add extra notes for your team.

  • Unit of Measurement – e.g. grams, liters, pieces.

  • Quantity – Total number of units currently in stock.

  • Total Price – Enter the total cost for the quantity entered.

💡 The Unit Price is automatically calculated by dividing total price by quantity.


🔔 Low Stock Alerts

To help you keep items from running out unexpectedly:

  • Check the "Low stock alert" box at the bottom of the Add Item form.

  • Set a threshold quantity.

  • The system will notify you when an item's stock drops below this level.

📢 This is especially useful for items with long restock times.


🧩 Bulk Actions

Bulk actions allow you to perform tasks on multiple items at once, helping you save time and manage your operations more efficiently.

When you select two or more items on the Inventory page, an action bar will appear at the bottom of the screen. This bar has a black background and displays:

  • The number of items selected

  • The following bulk actions:

    • Bulk Activate – Mark selected items as active.

    • Bulk Deactivate – Mark selected items as inactive.

    • Delete – Remove the selected items from your inventory.

Note: Adding images to your inventory items is optional, but we highly recommend it. While these items are not visible to customers, having images can help you quickly recognize and manage your inventory more efficiently within your dashboard.
